View Concluded/Inactive users in the Gradebook
You can always access "old" courses and view all student information in those courses. No grade information, or assignment submission, is removed from the course, the students are however moved to an inactive (when dropped) or concluded (when a grade is issued) status. You can view this information (grades & assignment submissions), but you cannot edit or change any information if the course has been fully concluded. Courses are moved to concluded status either once grades for all students have been recorded in self-service, or 6 weeks into the next term. Add a Colleague to my Canvas Course
Add to a Development Shell You do not need to submit a help ticket to add a colleage (MSJC employee) as a teacher to your development shell course. Any user enrolled as a teacher in the course can add another person to the course. Please review the MSJC guide for instructions on how to add a peer to your development shell. PLEASE NOTE: You cannot add students to your development shell. You can only add someone with an active employee email address (example: jdoe@msjc.edu) to your development shell. Add to an Active course If you are trying to add a peer to an active course, you will need your dean's approval. Please contact your dean's office to have your peer added as an instructor of record in colleague and they will gain access to your active course in Canvas. This process has been established with FERPA guidelines in mind. If the dean provides approval, please note that the instructor will have full edit permissions and access to student records. If you don't want the teacher to be able to edit anything it is recommended that you create an export of your course (Course Export Canvas Guide) and provide the file to your peer who can then import it into their development shell (Course Import Canvas Guide) for review. Optionally, you can use direct share to share course content with your peer(s); you can share announcements, assignments, discussions, pages, quizzes, and modules. Once the content has been shared, your peer can preview the shared content and import content items into their course or courses from the received content list (Manage Shared Content Canvas Guide). PLEASE NOTE: You can only share content with people who have an active employee email address (example: jdoe@msjc.edu).

When are Courses Available in Canvas
Course shells in Canvas are available to faculty on the first day of student registration. View the MSJC Schedule of Classes page to view the important dates for the corresponding term. For example; Spring 2025 registration begins on December 2, 2024, so instructors will see courses appear on their dashboard on that date. Courses may appear in the unpublished section of your dashboard. If you do not see a course you expect on your dashboard (published or unpublished), you can check your all courses list . If the course is not listed there either, please contact your dean's office to verify the following criteria: The course is set to active in Colleague You are listed as the instructor of record If the class is still not present in Canvas 24 hours after verifying this information, please submit a help request so we can troubleshoot your individual account.

How do I view grades for inactive or concluded student enrollments in the Gradebook?
You can view the grades for inactive and concluded student enrollments in the Gradebook. However, depending on the enrollment type, you may not be able to perform certain actions. Learn more about enrollments types in the Canvas Enrollment Status Comparison resource document. For concluded student enrollments, all content in the Gradebook is read only and cannot be changed. Grades can also be viewed when viewing concluded enrollments in the People page. For inactive student enrollments, grades can still be edited. However, inactive students cannot access the course, so they cannot view grades or receive any submission comments or feedback. Note: Inactive and concluded enrollments also show in downloaded CSV files and SpeedGrader assignment submissions. Open Grades from the Course Menu In the Student Name column, choose the Options icon On the Options drop down menu, choose to Show Inactive and Concluded enrollments. Honors/ Cross-listed Sections in Canvas
If you have an Honors/Cross-listed section, it has been combined with the parent section in Canvas. Use this guide to learn more about managing your Honors/ Cross-listed section. Verify Honors/Cross-listed Section You can verify the sections have been combined by checking your section list. To review the section list, enter the parent course from your courses list or the course card on your dashboard. Once in the course, select Settings from the course navigation, and then select Sections from the page option tabs. NOTE: The number of users listed next to each section includes all users: students, instructors, TAs, observers, etc. View Honors/Cross-listed Enrollments You can view the Honors/Cross-listed section enrollments by selecting Grades from the course menu, then select View. From the View menu, select Filters > Sections. A selection box will appear in the upper right hand corner of the grade window next to the settings gear icon. From the drop down menu, select the Honors/Cross-listed section. This will display only the students enrolled for the selected Honors/Cross-listed section. Assign Activities You can assign different activities (assignments, discussions or Quizzes) to just Honors/Cross-listed students. In the activity look for the Assign section in the Edit options. The default is assign to “Everyone”. To assign activities to just your Honors/Cross-listed students, select the X next to “Everyone” to remove the option. Next, select the Honors/Cross-listed section from the drop down list.

Why am I having trouble uploading files to Canvas?
As a student, Files allows you to store files and assignments within Canvas. You can upload one or multiple files, view all details about your files, and preview files. Each student is provided file storage within Canvas of 105MB. It is important to maintain your files to stay under this file storage maximum. Exceeding this maximum may lead to file upload errors. If you do receive file upload errors, consider deleting or downloading unneeded and/or older files and re-attempt your upload. How do I delete a file or folder as a student?

Select Canvas Support - Student (or Faculty depending on role) The Canvas Support page will appear. Select Contact Support The How would you like to contact Canvas Support? window will appear. Select Yes, Contact Support. Select Chat. A canvas support agent will be with you based on the estimated time wait shared.

Can you reset my course for me?
DEV Course If you need to reset your Development Shell (DEV course) you can do that from the settings tab. View the Canvas guide for instructions on how to reset your DEV course. Active Course However, we cannot reset "active" courses (courses with student enrollments). You will not see the reset option in the settings menu of active courses, only DEV courses. We do have a tool that can help you remove all of the unwanted course content that you inadvertantly copied into your course - this tool is TidyUp. To enable TidyUp in your course: Go to Settings Select Navigation Locate TidyUP on the menu select the 3 verticle dots Choose Enable Select Save Once TidyUp is available on your course menu (don't worry, students can't see the option -even when your course is published - so you can leave it enabled) - select it. You will need to authorize the tool, and then scan your course. You will be presented with a list of course content that you can delete (files, folders, and Canvas Content). You can select all the content by clicking on the box next to the Name (or title) header, and then choose Delete Selected. You can review the full TidyUp User Guide online. How to Access and Navigate Canvas (ACEN/BRN)
Intended Population: ACEN / BRN Team Purpose: This document provides guidance to the ACEN/ BRN team on how to access and navigate MSJC's Canvas LMS. Requirements: MSJC account credentials (welcome emails sent on 9/8) Instructions: Open a web browser and navigate to www.msjc.edu. Select Canvas from the links available in the myMSJC section. At the login screen, enter your MSJC [1] email address, [2] password and [3] select Login. Upon successful login, you will be directed to the Canvas Dashboard which will have course cards for each of the courses to which your account has access. To enter a course, select one of the course cards. After selecting a course card, you will be directed to the home page of the Canvas course website. You can navigate to different areas of the course by selecting links on the [1] Course Navigation Menu. The content of that area of the course will display and can be reviewed in the [2] content section. To view another Canvas course website, select [1] Dashboard on the Canvas Global Navigation Menu. After selecting Dashboard on the Canvas Global Navigation menu, you will be directed back to the Canvas Dashboard. Repeat steps 3-5 to access and review another course.

Can I merge sections of my Canvas Courses for convenience?
MSJC formally merges sections that have an official Honors (ex. ENGL-103/ENGL-103H) and/or Cross-Listed section (PSYC 121/SOCI 121). This is completed through the Office of Instruction during schedule development and is automatically applied in Canvas. Unfortunately, Canvas' merge feature does not fully maintain privacy between sections in some of its tools/features. Therefore, to maintain course privacy, MSJC does not merge any course sections outside of the aforementioned officially connected sections.
